Operations Manager

Chloe Jackman Photography is a vibrant Black- and woman-owned event and headshot photography company based in the San Francisco Bay Area. We're a passionate crew of creatives dedicated to capturing special moments and creating joyful experiences for our clients. We're looking for a hands-on Operations Manager to play a key leadership role in helping us scale to new heights and keep the magic flowing behind the scenes.
The Role
As our Operations Manager, you’ll be the steady hand behind the scenes — the person who knows what’s happening, when it’s happening, and gently reminds the rest of us to check our calendars. You’ll keep projects moving, communication flowing, and the wheels from flying off. You’ll work closely with our entire team to manage day-to-day operations, support team members, and help steer this joyful ship as we grow.
Key Responsibilities
Project & Calendar Management
Schedule jobs and events using our production workflow (Trello, Google Calendar, etc.)
Keep the team aligned on deadlines, deliverables, and daily priorities
Team Communication & Leadership
Act as a central point of contact across projects and team members
Lead weekly team meetings and coordinate timely updates across roles
Manage associate photographers and contractors; assign work and track progress
Collaborate on hiring and onboarding new team members
Workflow & Process Oversight
Own and optimize systems that support project flow from inquiry to delivery
Ensure all Trello cards move through the workflow and are completed with consistency
Improve documentation, templates, and SOPs to support team clarity
Client & Lead Management
Monitor new inquiries and coordinate follow-ups
Support logistics for upcoming events, shoots, and ongoing client needs
Strategic Support
Work with the leadership team to implement business goals
Identify bottlenecks, recommend solutions, and help shape a smarter, more joyful company
What We’re Looking For
We're looking for someone who is organized and collaborative, strategic and warm — someone who can take initiative, hold the big picture, and still laugh with us when things get wild.
You might be a great fit if you:
Have 3–5+ years of experience in operations, project management, or team leadership
Are confident managing calendars, workflows, and communications across a small team
Love systems, structure, and making things work better
Are energized by working in a creative business or service-based environment
Are based in the San Francisco Bay Area and able to commute to our San Francisco studio on occasion
Are savvy with tools like Trello, Google Workspace, Squarespace, and Canva
Are direct but kind, steady under pressure, and fun to collaborate with
Bonus points for:
Familiarity with photography, creative production, or small business scaling
Experience onboarding new hires or improving internal documentation
Position Details
Status: Part- to full-time (30–40 hours/week)
Availability: Monday–Friday with occasional extended hours during peak seasons
Compensation: Hourly, competitive, and commensurate with experience
Start Date: We're hoping to welcome our new Operations Manager by August 2025
Location: Remote with local availability; must reside in the Bay Area
